About Happiest Baby
Happiest Baby is a mission-driven company dedicated to helping parents raise healthy, happy children. Founded by pediatrician and best-selling author Dr. Harvey Karp and entrepreneur Nina Montée Karp, we make SNOO, the world’s first smart sleeper, and develop science-based products, content, and services that support families worldwide. SNOO is used in hospitals, offered as an employee benefit by leading companies, and has helped hundreds of thousands of families get more sleep.
About the Role
The Senior Accountant is a hands-on accountant who supervises the accounts payable and accounts receivable clerk, with three core responsibilities of equal weight: (1) general ledger (GL) accounting and the monthly close, including rental revenue accounting; (2) accounts payable (AP), accounts receivable (AR), and purchasing operations; and (3) optimizing and automating the work in both areas with AI tools, including Claude Cowork and AI agents. The role also supports financial planning and analysis (FP&A) and other accounting work as needed. It reports directly to the Senior Manager, Accounting and works cross-functionally with Operations, Customer Care, Business Development, and senior leadership.
We are a lean team in a fast-moving business. Processes that were sufficient yesterday may need to be rebuilt tomorrow. We are looking for someone who pairs accounting rigor and strong Excel modeling with practical fluency in artificial intelligence (AI) tools, including Claude Cowork and AI agents, and who will use them to automate and accelerate recurring work. Human review is required on every work product, whether prepared by hand or with AI assistance, and the preparer remains accountable for its accuracy.
Core Responsibilities (Required)
General Ledger Accounting and Close
AI is a core part of how this role gets work done. We expect the Senior Accountant to use Claude Cowork, Claude agents, and comparable enterprise AI tools to optimize and automate recurring tasks, and to do so with the same rigor applied to any accounting work product. Every AI-assisted output is reviewed, validated, and approved by a person before it is relied on, posted, filed, or shared.

Core Responsibilities (Required)
General Ledger Accounting and Close
- Own the monthly close: accruals, prepaids, journal entries, account reconciliations, and flux analysis.
- Prepare monthly financial statements and supporting schedules, and resolve reconciling items before close.
- Maintain close checklists and documentation, and automate recurring close tasks where practical.
- Inventory and cost accounting: landed cost, inventory roll-forwards, rental asset depreciation schedules, excess and obsolete (E&O) reserves, and physical counts across warehouses and third-party logistics (3PL) sites.
- Debt and equity roll-forwards, analyses, and reconciliations.
- Rental revenue accounting: own the rental revenue workbook, which brings together the full rental revenue cycle in a single model:
- Order to cash: reconcile rental billings, failed payments and voids, and payment processor settlements and fees to cash and to the GL.
- Deferred revenue roll-forward: roll the deferred rental revenue balance forward each month (beginning balance, billings, revenue recognized, ending balance).
- Balance sheet reconciliation: reconcile rental receivables and deferred revenue to the GL, investigate differences, and record adjusting entries.
- Deferred revenue aging: age the deferred balance by origination and by expected earning period, and resolve stale or unsupported items.
- Apply Accounting Standards Codification (ASC) 606 and ASC 842 to consumer and corporate rentals and prepaid contracts.
- Maintain the workbook’s documentation and controls and automate its refresh and checks where practical.
- Supervision: assign and prioritize the AP and AR clerk’s daily work, review and approve the clerk’s output, and provide training and feedback.
- Accounts payable: administer procure-to-pay, including invoice intake and coding guidelines, approval workflows in Bill.com, weekly payment runs, and payment within terms.
- Purchasing: maintain the purchase order (PO) register and numbering, prepare and issue POs, load approved POs into the accounting system, and support bill-to-PO matching in the approval workflow.
- Review invoices and expense reports for accuracy, proper GL coding, and eligibility for payment; identify duplicates and exceptions.
- Review the AP aging weekly; reconcile the AP subledger to the GL each month; record month-end accruals and maintain cutoff.
- Collect taxpayer identification numbers from all vendors and prepare accurate Form 1099 and Form 1096 filings.
- Accounts receivable: complete customer invoicing (including corporate rental customers) timely and accurately, and resolve invoice and account discrepancies.
- Apply customer payments to open invoices and clear unapplied cash promptly.
- Administer collections; review the AR aging weekly; maintain, analyze, and report on aged receivables; resolve customer credit balances; and recommend the allowance for doubtful accounts.
- Reconcile AR subledgers and payment processor clearing accounts to the GL each month.
- Daily processing: post bank activity in QuickBooks Desktop Enterprise each day; run the daily Bill.com and Expensify syncs and resolve sync errors; and maintain vendor and customer master data.
- Map and baseline recurring workflows in both areas (volumes, hours, error rates, and rework), and decide deliberately which steps to automate and which stay with a person.
- Build, run, and maintain AI agents and workflows with Claude Cowork for transactional and close work, for example PO preparation and numbering, bill-to-PO matching, cash application, collection reminders, bank posting and system syncs, reconciliation preparation, the rental revenue workbook refresh, and first-draft flux commentary.
- Fix the process before automating it: standardize intake, simplify approval paths, and use system configuration (bank rules, coding rules, recurring bills) wherever it is simpler and more reliable than an agent.
- Measure results monthly (time saved, error rates, rework, and exception volumes) and report them to the Senior Manager, Accounting.
- Controls: design and maintain segregation of duties over procure-to-pay and cash, including approval gates on PO creation, vendor master changes, and payment release, and document each automation (inputs, instructions, outputs, reviewer, and date) so auditors can understand and reperform it.
- Support FP&A: forecasting models, variance analyses, and Board and lender materials.
- Provide ad hoc analyses and decision support to business partners across the company.
- Plan and track external spend by vendor to improve visibility, prioritization, and control of spending.
- Payroll accounting: review payroll in coordination with our professional employer organization (PEO), post payroll to the GL, and reconcile payroll clearing.
- Prepare audit schedules and support the annual financial statement audit.
- Coordinate with external tax advisors on state and local tax (SALT), sales and use tax, value-added tax (VAT), goods and services tax (GST), provincial sales tax (PST), and income tax filings.
- Extend process, control, and automation improvements to the rest of Finance.
Tool Proficiency
- Demonstrated, hands-on use of Claude (including Claude Cowork) or comparable enterprise AI assistants for accounting and finance work: reconciliation preparation, flux and variance commentary, technical memos, policies, and data analysis.
- Ability to design, run, and maintain AI agents and multi-step workflows for recurring transactional, close, and reporting tasks (for example, PO preparation, bill-to-PO matching, cash application, clearing-account reconciliation preparation, invoice coding suggestions, accrual support gathering, and first-draft variance commentary).
- Ability to build reusable skills, prompts, and templates so automations are repeatable, documented, and transferable to others.
- Familiarity with connecting AI tools to business systems and data (Excel, SharePoint and OneDrive, Confluence and Jira, enterprise resource planning (ERP) exports, and connector integrations) using least-privilege access.
- Working knowledge of Python, Power Query, or SQL sufficient to read, test, and maintain AI-generated scripts and queries.
- Writes clear, specific instructions that supply context, constraints, examples, and the required output format.
- Breaks complex processes into discrete, testable steps and decides deliberately which steps to automate and which require human judgment (estimates, approvals, accounting conclusions).
- Measures results: time saved, error rates, and rework, and iterates based on evidence.
- Reviews and signs off on every AI-assisted work product; the preparer remains accountable for accuracy and completeness.
- Validates outputs independently: ties figures to source documents and the GL, recalculates, performs reasonableness and analytical checks, and sample-tests detail.
- Recognizes common AI failure modes, including fabricated figures or citations, misapplied accounting standards, stale or incomplete data, silent formula errors, and overconfident conclusions.
- Never relies on AI for a final accounting judgment, estimate, or disclosure without documented support and human review.
- Documents AI-assisted procedures (inputs, instructions or skills used, outputs, reviewer, and date) so auditors can understand and reperform the work.
- Designs automations with controls built in: segregation of duties, approval gates, change management, version control, and evidence retention.
- Understands that AI-enabled processes fall within the scope of internal control over financial reporting (ICFR) and information technology general controls (ITGCs) where applicable.
- Uses only company-approved AI tools and accounts, and follows Happiest Baby’s AI governance policies.
- Protects confidential, payroll, customer, and personally identifiable information (PII) through data minimization and redaction.
- Escalates concerns about accuracy, bias, security, or misuse promptly.
- Stays current on AI capabilities relevant to finance and accounting.
- Shares knowledge, trains colleagues, and contributes to Finance AI governance and automation initiatives.

- Progressive accounting experience, including hands-on AP, AR, and purchasing processing, revenue and deferred revenue accounting, and month-end close (accruals, prepaids, inventory, fixed assets, and debt), preferably in a consumer product, subscription, or startup environment.
- Solid understanding of United States generally accepted accounting principles (US GAAP), particularly ASC 606 (revenue), ASC 842 (leases, including lessor accounting for rentals), ASC 330 (inventory), and ASC 360 (property and equipment), and of financial controls and account reconciliation.
- Advanced Excel skills (Power Query, Power Pivot, lookup and dynamic-array functions) and the ability to build auditable, formula-driven models with no hardcoded numbers in calculations.
- Working knowledge of SQL, Python, or Visual Basic for Applications (VBA).
- Experience with QuickBooks Desktop Enterprise or a similar ERP system, and with AP automation and expense tools such as Bill.com and Expensify.
- Demonstrated proficiency with the AI skills described above.
- Experience automating AP, AR, purchasing, or reconciliation workflows, with measurable results in time saved or errors reduced.
- Experience supervising, training, and reviewing the work of AP or AR staff.
- A track record of excellent time management and meeting deadlines while maintaining strong attention to detail.
- Strong analytical and problem-solving skills, and excellent written and verbal communication, including the ability to explain technical matters to non-finance colleagues.
- Active Certified Public Accountant (CPA) license, or progress toward one.
- Public accounting (audit) experience.
- Experience with subscription or rental business models, and exposure to FP&A, including cohort-based forecasting.
- Experience with inventory and landed-cost accounting, physical counts, 3PL operations, and physical product supply chains.
- Experience with foreign subsidiaries, multi-currency accounting, and consolidation.
- Experience with business intelligence (BI) tools such as Amazon QuickSight or Power BI.

- 401(k) plan.
- Generous vacation policy.
- A friendly office and a dynamic work environment.
- Being part of a team that is making a meaningful difference in the lives of parents and babies.
